Executive Assistant

Base Salary Range: $90,000 - $110,000 per year
Our client is seeking an Executive Assistant to join their team. The EA serves as a key partner to the President, managing a wide range of responsibilities that directly contribute to the efficiency and success of the Executive. This role requires a highly organized and proactive professional who thrives in a fast-paced environment and can confidently navigate high-pressure situations with minimal supervision.
The ideal candidate has a strong ability to anticipate needs, prioritize effectively, and exercise sound judgment while handling sensitive and confidential information. They possess outstanding communication skills—both written and verbal—along with a keen attention to detail and a strong work ethic. Proficiency in Microsoft Office Suite is essential, and the ability to work seamlessly with dynamic leadership teams is a must. A forward-thinking problem solver, this individual maintains superior organization even when managing multiple high-priority tasks.
Responsibilities:
- Provide high-level administrative support, including expense tracking, drafting correspondence, scheduling travel, preparing itineraries, compiling meeting documents, creating presentations, and recording meeting minutes with action items. 
- Manage the Executive’s calendar, ensuring optimal scheduling, prioritizing engagements, and addressing conflicts with sound judgment. 
- Keep the Executive informed of upcoming obligations, deadlines, and priorities while proactively handling follow-ups. 
- Act as a key liaison between the Executive and various stakeholders, ensuring clear communication across all levels of leadership. 
- Support internal coordination by fostering strong communication between the Executive and company departments, upholding trust, credibility, and professionalism. 
- Assist with personal tasks, including travel arrangements and personal appointment scheduling, while maintaining discretion. 
- Collaborate with other administrative staff to ensure smooth office operations, including occasional reception coverage. 
- Offer occasional administrative support to other leaders and departments as needed. 
- Be available for occasional business travel. 
Requirements:
- Completion of a two-year post-secondary program in administrative support, office management, business administration, or a related field. 
- 5+ years of experience in an executive support role within a mid-sized company operating across multiple locations. 
- Prior experience supporting C-suite executives is highly preferred. 
- Experience working with or supporting a Board of Directors is a strong asset. 
- Advanced proficiency in Microsoft Outlook, Word, Excel, and PowerPoint. 
- Must be able to pass a basic criminal record check. 
- A valid driver’s license and access to a reliable vehicle are required.
