Project Coordinator


Location: Kelowna, BC

Position Status: OPEN

Salary: $70,000 - $85,000 per year

KAN Recruitment is proud to partner with a reputable and growing commercial construction company in Kelowna that is seeking an organized and proactive Project Coordinator to join their team.

This is an excellent opportunity for a construction professional who enjoys supporting projects from pre- construction through completion while working closely with project managers, site teams, subcontractors, suppliers, and clients. The successful candidate will play an integral role in coordinating project activities, assisting with estimating, maintaining project documentation, and helping ensure projects are delivered safely, on time, within budget, and to the highest quality standards.

Responsibilities:

Project Coordination

  • Coordinate multiple construction projects from planning through closeout.

  • Assist with project scheduling, documentation, and day-to-day coordination.

  • Support communication between clients, subcontractors, suppliers, and internal teams.

  • Track project progress and help identify scheduling or operational issues.

  • Assist with project reporting, forecasting, and administrative requirements.

  • Maintain accurate project files and documentation.

Estimating & Pre-Construction Support

  • Assist in preparing estimates for labour, materials, equipment, and subcontracted work.

  • Review drawings and specifications to support scope development.

  • Obtain and compare supplier and subcontractor pricing.

  • Prepare bid documentation and assist with proposal submissions.

  • Support change order preparation and project costing.

Client & Vendor Coordination

  • Maintain professional communication with clients throughout the project lifecycle.

  • Coordinate meetings, site visits, and project updates.

  • Respond promptly to client inquiries and assist in resolving issues.

  • Develop positive working relationships with subcontractors, suppliers, and consultants.

Project Administration & Cost Control

  • Assist with purchase orders, invoices, budgeting, and cost tracking.

  • Monitor project documentation and ensure records remain current.

  • Support contract administration and document control.

  • Assist with change management and project closeout documentation.

Team Support

  • Coordinate project information between office and field teams.

  • Assist with scheduling labour, materials, and equipment.

  • Support project managers with administrative and operational tasks.

  • Promote collaboration and effective communication across all project stakeholders.

Quality & Safety

  • Assist in ensuring projects meet company quality standards and safety requirements.

  • Help coordinate inspections, deficiency tracking, and closeout activities.

  • Ensure project documentation complies with company procedures.

Qualifications:

  • 2+ years of experience in construction project coordination or project administration.

  • Experience in commercial or industrial construction is preferred.

  • Estimating experience or exposure is considered an asset.

  • Strong organizational and time management skills with the ability to manage multiple priorities.

  • Excellent communication and customer service skills.

  • Working knowledge of construction drawings, specifications, and project documentation.

  • Proficiency with Microsoft Office, including Excel, Word, and Outlook.

  • Experience with construction management software is considered an asset.

  • Postsecondary education in Construction Management, Engineering Technology, or a relateddiscipline is an asset.
