Salary: $60,000 - $65,000 per year

KAN Recruitment is partnering with a Kelowna-based client to recruit a Human Resources Administrative Coordinator to support both Human Resources operations and general office administration. This hybrid role is primarily focused on Human Resources coordination and administrative office support functions.

The Human Resources Administrative Coordinator plays a key role in coordinating HR programs, maintaining records, supporting employees, and ensuring Human Resources processes are executed accurately and on time. This position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities while maintaining confidentiality.

Responsibilities:

  • Provide administrative and coordination support across Human Resources programs and initiatives

  • Act as an initial point of contact for employee inquiries related to policies, benefits, HR systems, and HR processes

  • Support employee benefits administration, including processing changes, maintaining documentation, and responding to routine employee inquiries

  • Assist with annual benefits renewals through data preparation, coordination, and employee communications

  • Maintain accurate employee records and Human Resources data within the HRIS and related tracking tools

  • Serve as an HRIS superuser, managing automated notifications, templates, dashboards, system communications, and reminders

  • Prepare routine reports related to benefits participation, training completion, safety compliance, and HR metrics

  • Coordinate logistics for onboarding, training sessions, and HR-related events

  • Track mandatory training, certifications, and attendance

  • Coordinate Joint Health & Safety Committee (JHSC) activities, including meeting scheduling, agendas, minutes, and follow-up actions

  • Maintain workplace health and safety documentation, incident reports, and compliance logs

  • Provide administrative support for employee leave management, including documentation tracking, timelines, HRIS updates, and reporting

  • Support immigration-related administration through document tracking and renewal monitoring

  • Assist with employee engagement initiatives, wellness programs, recognition activities, and perks

  • Support HR documentation, audits, communications, and process improvement initiatives

  • Provide coordination support for annual employee retreats, including bookings and service provider coordination

  • Schedule Human Resources meetings, prepare agendas, and track action items

  • Support additional Human Resources projects as assigned

  • Act as a professional first point of contact for visitors and external partners

  • Greet visitors and maintain reception areas, boardrooms, and shared office spaces

  • Answer and direct phone calls; coordinate mail, courier services, and deliveries

  • Maintain office supplies, kitchen inventory, and shared resources

  • Provide backup administrative support to senior leadership and executive assistants as required

  • Prepare documents, perform data entry, manage filing systems, and support reporting needs

  • Assist with meeting coordination, internal events, and travel arrangements

Requirements:

  • Minimum of 2 years’ experience in a combination of administrative coordination and Human Resources support roles

  • Experience with benefits administration, training coordination, or workplace health and safety documentation

  • Strong proficiency with HRIS platforms and Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint)

  • Experience using generative AI tools and supporting or building automated workflows

  • Excellent written and verbal communication skills with strong attention to detail

  • Demonstrated ability to handle confidential information with discretion and professionalism

  • Strong organizational and multitasking abilities

  • Experience in construction, property management, or development environments is considered an asset
